🧭 How the Customer Balance is Calculated

A customer's net balance due is maintained in real time according to fundamental accounting principles:

Balance Due = Opening Balance + Total Invoiced - Payments Received
  • Opening Balance: Prior debt or advance credit carried over from offline ledgers before adopting MudraHQ.
  • Total Billed: Sum of all digital sales bills generated inside MudraHQ.
  • Payments Received: Sum of all cash, UPI, cheque, and bank transfer receipts logged against this customer.

πŸ’΅ Settle Dues: Invoice vs Direct Ledger Payment

MudraHQ supports two business collection workflows:

1. Direct Ledger Settlement ("Record Pay")

When a customer comes in to settle prior debt or make an advance deposit without buying new products:

  1. Open the customer's profile.
  2. Tap Record Pay.
  3. Enter the paid amount (e.g., β‚Ή50,000.00).
  4. Select the payment method (Cash, UPI, Bank Transfer, or Cheque).
  5. The balance is credited immediately, and an immutable Payment Receipt Voucher is logged into payments table.

2. Itemized Invoice Payment

When a customer pays against a specific invoice:

  • Full Payment: Marks the invoice status as PAID.
  • Partial Payment: Marks the invoice as PARTIALLY_PAID with real-time balance tracking.
  • Excess Payment: If a customer overpays (e.g., paying β‚Ή1,000 on a β‚Ή950 bill), MudraHQ prompts to allocate the excess β‚Ή50 as an advance credit on their account.
